Club Manual - Ads/Media
Posters are one of the most effective ways to inform the student body about events a club is conducting. Clubs are free to create advertisements at their own discretion, so long as they follow these few steps along the way:
- All poster content must follow guidelines set out by the Federation of Students and University of Waterloo.
- Bring all posters to the Clubs Director prior to posting them
- The Club Director will approve all clubs advertising materials/flyers and sign the poster – this serves as the club’s “pass” for posting elsewhere (so long as the clubs have sought the approval of whomever supervises the ad board)
- ensure the following are on the ad: a) the club’s individual logo, and the Federation of Students Club Logo, found here
- Please note: the Federation of Students’ Clubs Logo will now serve as the disclaimer formerly required on all club posters.
The Federation of Students and the University of Waterloo each maintain assets that can be utilized by clubs to advertise and promote clubs and club events.
The Federation of Students maintains a web site (www.feds.ca), with a subsection reserved for clubs. Each club can be listed on this space, along with a logo, links to a club’s web site (if applicable), and email contact information.
Note: Please take time each term to review the information posted on the Feds site to make sure it is still applicable and relevant to your club. If changes are needed, contact the Club Director to make those corrections. The Club Director can also post information pertaining to club events on the Feds site, given enough time.
Federation of Student recognized Clubs are eligible for free club web site space through CHIP (Computer Help and Information Place) in MC 1052. In order to do so a club must:
- Fill out the Web Site form
- Include with it, a typed proposal of purpose for the web site space (what you are going to use the space for).
- Submit it to the Club Director for approval.
- The club is responsible for taking the completed package to CHIP to be processed.
Please Note: CHIP web sites cannot be used for discussion groups or chat rooms. Any group which uses web space for proposes other than those outlined in the club’s application for web space, or is found to be in violation of the University of Waterloo Statement on Use of UW Computing and Network Resources http://www.adm.uwaterloo.ca/infocist/use98.htm may have their web space revoked and face disciplinary action.
Fed clubs have the ability to post information and web links about individual events on the Club Events Calendar. The Club Director will post the event information for the club upon receiving an event form.
Often clubs will set up a booth or table in the Student Life Centre to sell tickets or advertise their events. As well, clubs often wish to put up posters in the SLC. If your club is interested in doing either of these things, please contact the Club Director and Ann Simpson for booking availability.
The University Public Affairs and Communications office runs an online daily newspaper to announce what is taking place in the University of Waterloo community. From time to time, if given enough time, they will post club events on the site. To have your event listed, contact the Club Director.
Many of the student societies, faculties and individual buildings have bulletin board space to post advertisements. Clubs are free to enquire about using these spaces on their own, but must first have brought the poster to the Clubs Director for approval.
The Imprint runs advertisements in each issue for businesses and events in the community. The cost for advertising in the Imprint will depend on several variables. Please consult with the Imprint Staff to find out about costs. Imprint Media Guide
The University of Waterloo event board near the Wasabi entrance of the SLC is available to publicize your event at no cost. Space is available at a first come first serve basis. You are allowed one posting per event. Each message is typically posted for three to four business days. The message has a maximum of three lines of 20 characters per line. Contact the receptionist in the Federation of Students to book your space.
